Privacy Policy

We keep our privacy practices simple because our product is simple. This page explains what data we collect, why, and what your rights are.

Who we are

Clearmade provides a Microsoft Teams–native IT service desk for smaller organisations. When this policy refers to “Clearmade”, “we”, “us” or “our”, it means the Clearmade team. You can reach us at hello@clearmade.co.

What this policy covers

This policy covers personal data processed through our public marketing site (clearmade.co) and through the Clearmade service desk product used by our customers. Where a customer deploys Clearmade for their own employees, the customer is the data controller and our processing is governed by our Data Processing Addendum with that customer.

Marketing site

The marketing site does not currently set non-essential cookies or run third-party analytics. If you submit the contact form, we receive your name, email address and message, and use them solely to reply. We do not sell or share that information. See our Cookies page for a detailed breakdown.

Service desk product

Within the authenticated product, we process:

  • Account data — name, email, role, and organisation — used to authenticate you and show the right view of tickets, approvals and knowledge.
  • Ticket content — messages, attachments and metadata you submit through Teams, the portal or the dashboard.
  • Operational logs — request timing, error traces and audit records, retained for security, reliability and incident investigation.

Lawful bases

We rely on performance of a contract (to deliver the service to customers), our legitimate interests (to run the business, keep the platform secure, and respond to enquiries), and consent where it is specifically required (for example, before we would ever load non-essential cookies).

Sharing

We use a small number of trusted sub-processors to host infrastructure, send transactional email and operate our marketing site. We will publish a sub-processor list on request. We do not sell personal data.

Your rights

Under UK and EU data protection law, you have rights to access, correct, delete, restrict, and port your personal data, and to object to processing. If you interact with Clearmade as an employee of a customer organisation, please raise the request with that organisation first, since they are the controller. For anything involving our marketing site, contact hello@clearmade.co.

Retention

Marketing enquiries are retained for up to 24 months unless you ask us to delete them sooner. Product data is retained for as long as the customer has an active contract, then deleted or returned per our DPA.

Changes

We will update this page when our practices change, and bump the “last updated” date at the top. Substantive changes affecting active customers will also be communicated by email.
